Inclement Weather Guidance & Virtual Services
MEMO
November 19, 2020
Inclement Weather
To: Parents, Caregivers and Guardians
From: Randy Ferguson, Executive Director, TCLE
Re: Inclement Weather Days
While TCLE operates under special conditions as a result of the COVID-19 pandemic, the following will be enforced for the upcoming winter season (Closures and Delays):
- In event of inclement weather, TCLE will send out a message indicating the operational status. We will correspond thru Dial My Calls and emails. If TCLE deems roads to be hazardous, then employees will be instructed to provide virtual services.
- By providing virtual services, this will assist the center with maintaining financial stability.
- Virtual services such as zoom or use of the cell phone must be done for at least 1 hour per participant per day. The time can be broken up into 2 or 3 sessions per day if necessary.
- If TCLE modifies the service day by opening with a delay or requiring an early dismissal, virtual services can be an option if services cannot be performed for at least one hour.
- Notification for any delays or early dismissal will be done via Dial My Calls.
PLEASE NOTE: As TCLE enters our 10 month of dealing with the COVID-19 pandemic the impact on staffing has been devastating. During this time, TCLE has lost over 50 staff due to the uncertainties that the COVID-19 pandemic has presented. We currently have 103 dedicated employees who continue to provide services under these very stressful times.
In order for us to maintain employment for these dedicated staff, we are dependent on everyone attending services. We are asking families to consider virtual services if they are not already receiving in person services. We are also asking that families consider virtual services on days in which the weather may be questionable. Federal Regulations (Appendix K) allows TCLE to provide services virtually. Services must last at least one hour and can be divided during the course of the day (2 – ½ hour sessions, etc.).
TCLE is willing to assist participants in obtaining the technology.
We have been encouraging all of our employees to set up options so that virtual services can be provided in the event of weather related issues or general concerns over the COVID-19 event. If you need assistance in setting up virtual services, please contact us. If you should have any questions, please contact your immediate supervisor.
